1. Agreement
These Terms govern access to and use of DigiBillMate HRM. By signing in, continuing, or installing the application, you confirm that you have read and accepted these Terms and acknowledge the Privacy Policy. If you do not agree, do not use the application.
2. Purpose of the Service
DigiBillMate HRM helps businesses manage employees, attendance, breaks, overtime, leave, holidays, reports, and related workforce records. The business that provides your account controls how the service is configured and used within its organization.
3. Accounts and Access
- Owners and managers must provide accurate organization and employee information and assign suitable access.
- Users must protect passwords, PINs, saved credentials, and devices and must not share access with another person.
- Users must notify their business administrator promptly if an account or device may be compromised.
- The business administrator may activate, restrict, or deactivate employee access when required.
4. Attendance and Workforce Records
Users must record check-in, check-out, breaks, leave, and other workforce events honestly and only for themselves unless expressly authorized. Attempts to falsify time, location, identity, device, or approval information are prohibited. Owners and managers are responsible for reviewing pending verification, correcting authorized records, and resolving employee disputes.
5. Location, Device, and Verification
Attendance may use location, QR codes, device identifiers, timestamps, and verification scores to confirm an event. Verification can be affected by device settings, signal quality, browser permissions, or network availability. A pending record is not final until an authorized owner or manager approves or rejects it.
6. Employer Responsibilities
The subscribing business is responsible for giving employees required notices, obtaining any legally required consent, configuring office hours and policies correctly, maintaining lawful employment practices, reviewing reports, and complying with applicable labor, privacy, tax, payroll, and recordkeeping requirements. DigiBillMate HRM is an operational tool and does not provide legal, payroll, tax, or employment advice.
7. Acceptable Use
You must not misuse the service, access another organization’s data, bypass security controls, introduce harmful code, overload the service, reverse engineer protected portions, or use the application for unlawful, fraudulent, abusive, or discriminatory activity.
Businesses and users must not submit unnecessary confidential information or place passwords, banking credentials, payment-card details, medical records, or unrelated private information into free-text fields. The subscribing business is responsible for determining that information it enters is lawful, necessary, accurate, and supported by appropriate notices and permissions.
8. Data Accuracy and Availability
Users and business administrators must verify important records and exported reports before relying on them for payroll, discipline, compliance, or business decisions. Service availability may occasionally be affected by maintenance, internet connectivity, browsers, devices, or third-party infrastructure. Reasonable efforts may be made to restore service, but uninterrupted operation is not guaranteed.
9. Intellectual Property
DigiBillMate HRM, its software, branding, layout, and related materials remain the property of their respective owner or licensors. Users receive a limited, revocable right to use the service for authorized business purposes. Business data remains subject to the rights and responsibilities described in the Privacy Policy and applicable law.
10. Suspension and Termination
Access may be suspended or terminated for security risk, misuse, legal requirements, non-payment where applicable, or violation of these Terms. The business administrator is responsible for handling employee access when employment or authorization ends.
11. Limitation of Responsibility
To the extent permitted by applicable law, DigiBillMate HRM is not responsible for losses caused by inaccurate user input, incorrect business configuration, unauthorized credential sharing, unsupported devices, connectivity failures, or employment decisions made without appropriate review. Rights that cannot legally be excluded remain unaffected.
12. Changes
These Terms may be updated to reflect product, legal, or operational changes. The effective date will be revised when material updates are published. Continued use after an update constitutes acceptance where permitted by law.

For account or workforce-record questions, employees should first contact their owner or manager. Business administrators may use the official DigiBillMate support channel supplied with their service arrangement.
